Leavers gear welcome doc

We can’t wait to work with you to create memorable leavers’ gear that students will love to wear for years to come. We want to make creating and ordering as simple as possible. This page will walk you through each step of the ordering process and answer many frequently asked questions.

1. Timeline and ordering process

After some indicative pricing?

Submit your request using our free quote builder and we’ll come back to you with confirmed pricing and a mockup.
  • We offer a wide range of template designs. These designs can be customised with your school name, motto, year and crest. We’ll create a visual mock-up for you displaying your designs. This is a free service and is part of the package of working with us. You can also use a design you have created.

    File types:

    • Embroidery: We can accept any file type
    • Screen print or Supacolour: Ideally, a vector file in the format of a PDF, .AI, or .EPS.

If you don’t have these formats, don’t worry—we can redraw the design for you in the correct format. Depending on the complexity of the design, there may be a charge for this service.

    Print sizes:

The maximum screen print area is 320mm wide x 400mm high, but the print size is often dependent on the smallest garment in the order. Garment details, such as hoodie pockets, will also impact the print size.

  • We understand how important it is for the hoodie or garment to fit well. That's why we offer free samples for you to have on-site at school, allowing students to try on the garments for size before placing their order.

Once you've chosen the garment(s) your school will use, we'll send a range of sizes for students to try on. This way, they can ensure they select the correct size before ordering.

Please look after these samples. In most cases, the samples are brand new. Once you’re finished with them, we will send a return courier ticket for you to send them back to us.

Make sure all students try on their garment before ordering. We are not responsible for students ordering the wrong size.

  • We offer free custom names on all hoodies, sweaters, and rugby jerseys. The maximum number of characters per name is 13, including spaces. We usually use the Bebas font, as it fits the garment well. The custom name will always be in UPPERCASE, regardless of how you type it.

We ask that students avoid emojis or special characters in their custom names, as these can cause printing issues due to font limitations.

We print the custom name exactly as supplied, so please double-check the spelling when entering it. You can also enter names in other languages.

A school teacher must approve all custom names before we proceed with production.

  • We offer three free visual mockups, which include the garment, garment colour and design. Additional mockups beyond these three will incur a charge, as they require more work from our team.

If your design includes the cohort’s names, please send us the list of students’ names. Once the design is finalised, we’ll proceed with setting up your ordering method.

After finalising the order quantities, we prepare a design proof that includes sizes, quantities, print specifications, and a full list of custom names. This proof is sent to your nominated teacher for final approval via our e-sign system before production.

  • There are two ways to order, both free of charge:

    • Google spreadsheet: Shared with students to enter their order and custom name. Once completed, we’ll email an invoice to the school office for full payment.
    • Online store: Open for two weeks, where students order and pay Print Room directly.
  • Once your order is ready, we’ll ship it to your school along with a spreadsheet containing the order details, making it easy to distribute to the right students.

If you’d like, we can send orders directly to individual addresses for an extra $12.50 per garment/student, covering shipping and handling.

  • It’s crucial to ensure that all students have placed their orders before finalising. We recommend checking with any teachers who might want to purchase a garment too. Due to the time and resources required to set up screens for your job, producing just one or two additional garments after the main order has been completed can be very costly.

Late orders can cost anywhere from $100 to $200 for a single garment, which is why we can’t stress enough the importance of confirming all orders before finalising the submission.
